Pension Admin System
One system of record. Three portals. Rules your staff change without code.
Our approach
The system first. AI on top, if you want it.
- One system of record behind the Member, Employer and Administrator Portals
- A Work Hub for every task, with its metrics
- Reports built and scheduled without writing queries
- Plan values, notices and portal content changed without code
- Portals in English and Spanish, built to meet WCAG 2.2 AA
- Integrations with the systems you already run
- Field-level encryption, multi-factor sign-in and a tamper-evident audit ledger
- The PensionID AI chatbot in the Member, Employer and Administrator Portals, answering members about their own record through read-only lookups, with identifiers never sent to the model
- AI agents that prepare each workflow step for your staff to approve, in the workflows your fund chooses
- AI agents that work from the system's data-quality checks and queue each missing or conflicting detail for staff to fix
- Employer payroll files in any layout, their columns mapped by AI for the employer to confirm
- Call notes and follow-up tasks drafted for staff to review
- The AI Report Builder, and a board slide drafted from any report

Work Hub
Every task in one queue, with the metrics to run it.
- Tasks from members, employers and workflows land in one queue, where staff filter, assign and pick up work.
- Metrics show what is open, due today and past due, and how quickly work closes.
- Staff open on what needs them today: pending applications, past-due tasks and open escalations.
- Supervisors see late work across every queue, with service-level timers and escalation, and claims on a case expire on their own so two staff members don't work it at once.
- Workflows are drawn in a visual designer, with due dates and escalations set per workflow, and time on hold doesn't count against the clock.
- Approval gates scale with the amount, and retirement cases need two sign-offs by different staff members. The submitter can never approve.

Reports
Reports without writing queries.
- Build custom reports from approved data sources without writing queries.
- Schedule reports to run on their own.
- Trustee-ready and board-ready reports you can schedule and export.
Self-service portals
One record. A portal for each side of the counter.

Administrator Portal
Casework that shows whose move it is.
- Retirement cases and payment runs wait for two different staff members.
- The scan detects. Staff decide, with reasons.
- Board-ready reports from the system of record, without writing queries.

Member and Participant Portal
Self-service that never guesses.
- Scenarios priced by the Calculation Engine, online applications and a case they can follow.
- When a fact is missing, the portal says so.

Employer Portal
Reports that reconcile, and say whose move it is.
- Employers see problems before they submit.
- Each report reconciles three ways: reported, expected at plan rates, and paid.
- Employers manage their own team.
